Job Description

Position summary Operate telephone switchboards and consoles to connect, hold and transfer telephone calls and provide information to assist clients or refer them to appropriate contacts, either in the organization or elsewhere. Employee performs routine, and some non-routine, continuous work involved primarily with the operation of a telephone switchboard and the operation and maintenance of a computerized database of telephone information.

Job duties (* denotes an “essential function”) ■ * Answer telephones in Message Center utilizing a multi-line phone system. ■ * Utilize appropriate logs for tracking issues with calls. ■ * Maintain phone lists as per procedure. ■ * Handle additional projects as assigned. Handle sensitive and/or confidential documents and information. ■ * Communicate with manager and client on job or deadline issues ■ * Ensure that request tickets are properly filled out before beginning work. ■ Ability to handle high-stress environments ■ Complete various tasks as specified per request. ■ Notify appropriate staff when calls are processed incorrectly. ■ Troubleshoot basic equipment problems. Place service calls when needed. ■ Assist in training new hires. ■ Adhere to Williams Lea policies in addition to client site policies. ■ Use equipment and supplies in a cost efficient manner.

Job Requirements

Job qualifications

■   High school diploma or equivalent.

■   1+ year of high level customer service experience required.

■   Previous receptionist or administrative assistant experience preferred.

■   Attention to detail with emphasis on accuracy and quality.

■   Ability to prioritize work to balance multiple projects and deadlines.

■   Excellent verbal and written communication skills.

■   Exceptional customer service skills.

■   Switchboard operator experience preferred (PBX, or private branch exchange switchboards, or voiceover Internet protocol switchboards)

■   Ability to handle a high volume of incoming, outgoing, and interoffice calls

■   Customer service oriented - actively looking for ways to help people.

■   Excellent listening skills

■   An extremely professional phone manner

■   An upbeat and pleasant phone voice

■   Experience in handling multiple tasks

■   Intermediate PC Skills required: Microsoft Office, Word, Excel, Outlook
