Position summary

The Admninistrative Assistant will be responsible for all front of house duties at the Spring Street office location.

Job duties

·   Answers phone, transfers calls and takes messages

·   Responds to general reception email box requests with appropriate care

·   Provides administrative support to senior management

·   Greets visitors and alerts appropriate party of their arrival

·   Receives all packages and hands out mail

·   Responsible for the coordination and shipping of high-volume of outgoing company mail, mostly color proofs going to clients and agencies using messenger, courier and overnight delivery services. Optimizes existing processes for efficiency and cost

·   Coordinates with mobile phone provider for any plan changes or handset orders

·   Works with the travel agent to coordinate travel and books corporate car services for NY side transportation

·   Manages the conference room schedule and sets up the rooms/breaks down rooms for all meetings

·   Handles dispatching of all packages within our workflow management system

·   Tracks corporate credit card spending and creates monthly spreadsheet of all expenditures

·   Answers main Tag phone line and handles each call with appropriate follow-through and provides called necessary information. Transfers call to appropriate staff member when necessary. Updates company phone extension list on a monthly basis

·   Provides support to Smoke & Mirrors reception and answers phone when they are unavailable

·   Assists in Ad Hoc projects, including occasional research assignments and event management.

Job Requirements

Job qualifications

·   Minimum of one-year receptionist, switchboard or administrative assistant experience

·   High school diploma or equivalent

·   Proven ability to quickly gain organizational knowledge, identify key personnel (inside and outside the business), and understand organizational aims and objectives

·   Excellent verbal and written communication skills

·   Intermediate computer skills including Microsoft Word and Excel

·   Exceptional customer service skills

·   Ability to work in a fast-paced team environment

·   Attention to detail with emphasis on accuracy and quality

·   Ability to prioritize work to balance multiple projects and deadlines.
